Posting Summary

Rutgers, The State University of New Jersey, is seeking a Program Coordinator I to provide support to the Master’s programs in the School of Communication and Information. This position will assist faculty directors with the daily operations and work with faculty and staff who are involved in program management. The duties of this position will include, but will not be limited to, the following:

  • Assists faculty directors with the daily operations of master’s programs, including evaluating systems and processes pertaining to scheduling classes, managing special events, supporting co-curricular programming, actively monitors and analyzes data and statistics for reporting purposes and recommends changes to address opportunities and challenges.

  • Supports the implementation of student learning assessment programs, works to develop clear, engaging program information including printed and online materials for faculty and students.

  • Assists with development of new program initiatives such as fellowships and internship and works with other personnel as appropriate to fundraise for master’s programs.

  • Helps directors and faculty with the admissions process.

  • Completes reports and processing of documentation related to admissions and assists in student on-boarding events.

  • Supports the creation and maintenance of information resources and sites.

  • Works with program directors, SC&I; communications staff, and others to appropriately position and promote master’s programs.

  • Assists with creation of messaging including formats such as emails, mailings, websites, and social media.

  • Works on the planning and implementation of information sessions, open houses, and other special events including representing the programs at promotional events.

  • Supports the programs with conference presence, events management, and other special programs.

  • Completes various other task and duties as assigned.

Minimum Education and Experience
  • Requires a bachelor’s degree in business, communication, information management, or a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.

  • Also requires a minimum of two years relevant experience in a program coordination or administrative function supporting managers.

Required Knowledge, Skills, and Abilities
  • Must be highly skilled at time management and be able to prioritize work effectively to assure completion of all tasks within required deadlines.

  • Strong oral and written communication skills and computer proficiency are required.

  • Requires ability to conduct business effectively by phone, email, and face to face.

  • Ability to coordinate meetings and records and manage stakeholder relationships required.

Physical Demands and Work Environment
  • Must be able to lift boxes and materials up to 10 lbs.

  • Must be able to rearrange chairs and tables to set up rooms for meetings.
